A Guide to Choosing SAP Business One Reporting Option

SAP Business One offers various reporting options– Drill Down to Source Transaction, Standard Reports, SAP Reporting Dashboards, SAP Drag and Relate, Crystal Reporting, BI on Demand, Excel Pivot Tables, SAP Query Generator/SAP Query Manager and SAP Analytics powered by SAP HANA.

The common question most SAP Business One users and prospective customers ask is which SAP reporting option is right for their business.

When choosing a reporting platform, SAP Business One users should bear in mind many factors like specific requirements, mobile access, the volume of data, remote offices, static versus dynamic reporting, printed or on-screen reports, and budget allocation.

The team at SAP has delivered many reporting options taking into account understanding each of these factors. Let’s take a look at each SAP Business One reporting option in more detail:

Drill Down to Source Transaction –  SAP Business One has multiple drill down/around abilities that enable a user to drill down from on-screen information to the source transaction. This functionality allows the user to obtain quick and easy access to critical information – even on the move. You can also easily access closing prices, gross profit, and such other information.

SAP Business One Standard Reports –  Every area of functionality in SAP Business One offers standard pre-delivered reports (Balance Sheet, Profit and Loss, Purchase Analysis, Sales Analysis, Inventory Analysis, and Financial estimate reports). Most of these reports have multiple inbuilt criteria like date range, project, division, customer/client group, and properties.

SAP Dashboards –  Users can access KPI’s and user-specific reporting in graphical and user-friendly dashboards. SAP has several standard dashboards (financials, cash flow, sales and services, purchases).

Drag and Relate –  Drag and Relate enable users to drag a customer code to the intended information (e.g. – deliveries or invoices) and get instant on-screen reports of the required information.

Crystal Reporting –  SAP Business One has installed several Crystal Reports (e.g. – the bank reconciliation report with the drill down to source transaction functionality).  Users can draft their Crystal Reports or ask their SAP Business One partner draft reports on their behalf. If users want to draft their own reports, they need to have the SAP Crystal Reporting licenses. Once drafted, the SAP Crystal Reports can be added to the SAP Business One menu making reports easier to access.

BI on Demand –  It enables users to load and generate dashboards and graphical reports in the cloud. SAP Business One provides you with the infrastructure, and you provide the data.

Excel Pivot Tables –  It s a powerful reporting tool that uses the technology we are all accustomed to – Microsoft Excel. You can create pivot tables and have them refreshed from SAP Business One data with just the push of a button. You can use the pivot tables and/or the Excel Slicer to slice and dice the data that you want – in a way it is analytics at a low cost of ownership.

SAP Business One Query Generator/Manager –  Using this reporting tool, users can instantly create their queries. SAP has made easier for users to generate their reports using the “system information” functionality by providing access to table and field names.

SAP Analytics powered by SAP HANA –  SAP Business One analytics brings critical data sources from remote databases into local memory, rendering genuine analytics with faster and real-time access to transactional information. Users can also perform multi-dimensional analysis on SAP Business One data.

The team at SAP has empowered SAP Partners and Customers alike with a range of different reporting tools. In most instances, customers can use a combination of reporting tools – Standard Reports for quick/on-screen analysis, Dashboards for KPI management, Analytics for multi-dimensional reporting analysis, and Crystal Reports for the board pack reporting.
